Job Description

Executive Assistant needed in the Rancho Cordova area to support a high-level Executive, other potential managers, and general staff. This position requires discretion and confidentiality of critical information. Will be performing a variety of administrative duties related to various departmental needs. This is a 40-hour full time, long term temporary position to cover a leave. Interviews have begun.



Office Management/Executive Support

  • Responsible for maintaining various calendars and schedules related appointments

  • Coordinates activities of numerous departments insuring no conflicts

  • Logistical arrangements for conferences, workshops, and in-services including preparing materials, and analyzing data

  • May coordinate and organize the support functions for various meetings

  • Executive Liaison via email, phone or in-person

  • Travel, lodging, and transportation coordination arrangements

  • Schedules and coordinates travel/conference arrangements; completes purchase requisitions

  • Manages office details working with other support staff

  • Follows established rules and procedures in responding to requests and delegation to staff

  • Designs and organizes record keeping systems and insures file maintenance

  • Screens calls and visitors; serves as backup for other departmental roles

  • Maintains follow-up/reminder systems to insure timely completion of projects

  • Prepares necessary documents to order equipment and supplies

  • May train, supervise and assign work to subordinates.

  • Limited local travel may be required.


  • Maintains oversight responsibility for department budgets

  • Prepares expense and mileage reimbursement claims. Processes expenditure and income contracts

  • May assist in preparing grant proposals by costing out salaries, benefits, and other expenses.


  • Advanced writing skills for proofing documents and other communications

  • Acts as liaison between County Office and the general public by answering detailed inquiries either orally or in writing on a variety of organizational activities;

  • Creates and composes letters, reports, memos, agenda items, graphs, charts, presentations, and e-mails

  • Independently answers correspondence

  • Interprets and explains policies

  • Records minutes, prepares agendas and maintains permanent and confidential records of meetings.

  • Researches information; compiles, verifies, prepares, reports, and may present results to staff, etc.

  • Performs studies and analysis for a variety of programs


  • Advanced English grammar, punctuation, spelling, and proofreading skills

  • Organized record keeping and filing systems management

  • Knowledge of general finance and accounting principles

  • Meeting Minutes experience

  • Tech savvy to train on industry specific software

Education, Training, and Experience

  • Any combination of training and/or experience which demonstrates ability to perform duties

  • Administrative and office management experience, preferably in a public agency

  • Coursework in business administration or a related field is desirable.


Pay from $45 to $49 per hour


Must be able to provide a minimum of two supervisory references and proper documentation to verify eligibility to work in the USA.  Other compliance factors may be involved, depending on position including COVID Vaccination/Boosters, clear a thorough drug screening and criminal background check.  River City Staffing is an Equal Opportunity Employer.
